- Tenant: Individual whose rental history is recorded.
- Landlord: Property owners or managers submitting rental information.
- Portal: WA Tenant Bureau online platform.
1.2 Scope of Privacy Policy
The Company is committed to protecting the privacy and personal data of tenants and landlords. This Policy applies to all data collected, stored, processed, and disclosed in Canada, the United States, and the European Union.
1.3 Data Collection and Purpose
- Collection of tenant rental history data including payment record, property damages, and landlord complaints.
- Collection of landlord information and property details.
- Data is collected solely for the purpose of providing rental behavior reports.
1.4 Legal Basis for Processing
- Consent of the Tenant.
- Legitimate interest of Landlords to assess rental suitability.
1.5 Data Subject Rights
- Right to access, correct, delete, and dispute information.
- Right to lodge complaints regarding data processing.
1.6 Data Storage and Security
- Data is stored on AWS servers and managed securely.
- Encryption at rest: AES-256.
- Transmission security: TLS 1.3.
- Access controls and audit logs in place.
1.7 Data Retention
Tenant data is retained for five (5) years from the date of tenancy termination.
1.8 Cross-Border Transfers
Data may be transferred across Canada, the United States, and EU servers. Appropriate safeguards (Standard Contractual Clauses) are in place.

2.1 Acceptance of Terms
By using the WA Tenant Bureau Portal, users agree to be bound by these Terms of Service.
2.2 Definitions
- User: Tenants and landlords using the Portal.
2.3 User Obligations
- Provide accurate information.
- Use the Portal for lawful purposes.
2.4 Dispute Resolution
- Tenants may lodge disputes via their portal account.
- Company will investigate and resolve disputes within 15 business days.
2.5 Liability Limitation
Company is not liable for inaccuracies in landlord-submitted data beyond reasonable verification efforts.
2.6 Governing Law
British Columbia, Canada. Recognizes applicable US and EU privacy regulations.
3.1 Consent to Data Collection and Disclosure
Tenant consents to collection, storage, and sharing of rental history data by the Company. Tenant acknowledges that this information may be accessed by landlords for tenancy evaluation.
3.2 Tenant Acknowledgment
Tenant understands the purpose, scope, and rights regarding their data.
4.1 Dispute Submission
Tenant may submit disputes via the Portal.
4.2 Investigation
Company reviews submitted disputes and requests supporting documentation as necessary. Resolution is provided within 15 business days.
4.3 Correction or Deletion
Verified inaccuracies will be corrected or deleted promptly.
5.1 Retention Period
Five (5) years from tenancy termination.
5.2 Deletion Procedure
Data is securely deleted or anonymized post-retention.
5.3 Exceptions
Legal obligations or ongoing dispute investigations may extend retention.
6.1 Notification
Breach notification within 72 hours (EU), 48–72 hours (Canada), 30 days (US states).
6.2 Response Team
Internal privacy lead coordinates response. Communication with affected individuals and authorities.
6.3 Remediation
Containment, investigation, and mitigation steps documented.
7.1 Scope
Covers processors such as AWS or analytics vendors.
7.2 Processor Obligations
Confidentiality, security, subprocessor obligations, data subject rights support.
7.3 Duration and Termination
Effective as long as data is processed for the Company.
7.4 Liability and Indemnification
Processor liable for breaches or non-compliance.
8.1 Scope
Covers website analytics, cookies, and tracking scripts.
8.2 User Consent
Users must provide consent before non-essential cookies are placed.
8.3 Cookie Types
